I use Ziflow as a proofing tool for marketing deliverables across social, web, email and print, including our seasonal catalogs (200-500 pages). Ziflow has allowed our team to get feedback from cross-functional teams all in one place. We can organize feedback and communicate with team members all within Ziflow. Since I design many of the deliverables or am giving direct creative feedback, this makes everything streamlined and clear to me and my team members.
  • Comments in proofs: You can tag them, copy them from version to version, resolve them and comment back. All of this is super simple to use.
  • Workflow Templates: Setting up a workflow that automatically pushes the proof from stage to stage following a pre-determined timeline. Also, locking stages or proofs when a deadline has come or decisions has been made.
  • Proof Organization: Being able to organize proofs in folders, locking or archiving them when you are done with them. Keeps this organized and clean when looking for proofs.
  • Connecting to Asana: This may be a company thing that we have not figured out. We used to have the two systems communicating with each other but we haven't been able to get it for some time. I wonder if that can become easier.
  • Uploading Proofs: Since the new version, there is so much clicking that has to be done with add messages to proofing stages and many sections. It's hard to click through it all and it feels like it takes longer than it did before.
We work with a lot of cross functional teams, so it is nice to have them review things on their own and provide feedback all in the one place for our team to review. It helps cut back on meetings and emails full of feedback that gets lost. This is especially helpful when we are working on our catalogs. We do reviews on Ziflow all the way from rough layouts to proofreading.

We use Ziflow to upload proofs for our proofreaders to proof. We also use it for client feedback (our team members jot down the feedback through their accounts during or after meetings). Having the review process from various employees in one program keeps everything organized and flowing smoothly. In my experience, the staging function also contributes greatly to this as you can have one stage for an internal review, another for proofreading and then a final one for client.
  • If your filenames are organized, the search function is a dream.
  • I think the staging function makes it handy to keep things moving once one party approves.
  • I think the templates are great for adding multiple people to proofs automatically.
  • After big design overhauls, maybe instead of highlighting new features, old ones that may have been moved could be highlighted.
  • Sometimes emails are a bit slow to receive but that could be a problem on our end.
Ziflow is a great program for all our proofing needs. Creating a proof is as easy as dragging it over. To add someone, you can just start typing an email and it'll pick up from an address book and you can click the name. You can also add multiple people to one tag and have them all added at once to a proof. You can also create templates with people already added to various stages to really speed up the process of adding people to proofs. The stage function itself is also great for having multiple approvals from multiple stages instead of creating new proofs after each person approves.

I use this software, for proofing and for creative review. this software helps me make sure that Everything in the decks that i send is correct and approved and up to par for clients review. I also use this software to send animations and mp4 files through for approval for clients.

I use Ziflow for creative collaboration on key pieces of content that need to go through a medical, regulatory, and legal review for a pharmaceutical company. The product allows for swift feedback, repository of feedback, proof/version control and electronic signatures. Very versatile tool...easy to use...and cost effective....solid value.

The whole organization uses it for sending proofs to clients and receiving and managing feedback and changes, keeping projects on track. The designer uploads and sends proofs to clients and then the admin monitors it for feedback and approvals. It helps speed up our workflow and keep track on which stage the proof is at, the deadlines and automations help to reduce follow ups from out to do list.

Great proofing software and I have tried many of them, great for easily sending files to clients and collecting feedback. It is well fitted for sending designs (print and web) for review to clients, especially when there are multiple stakeholders involved as they can all easily look at the same file and make comments simultaneously. It could also be used for in-house approvals and reviews.

Ziflow is used for our company as a proofing system. We run our creative through there to allow team members to view, markup, and make decisions on a current project. This system allows us to streamline the process of teams reviewing creative therefore giving a digital platform for multiple users to allow their input to be heard on a project. We find that having a waterfall effect between departments and the workload is the best way to use Ziflow.

I use Ziflow to upload proofs of different types of projects that our clients can then review and comment on. This helps our company massively to keep all projects in one place, look at past versions and easily share to other people. We use Ziflow for every project we work on and occasionally for multiple aspects of a project.

We work in the apparel industry, creating tags and label for the brands identity. We use Ziflow for some accounts to upload artworks proof so then the brands can look at them and make a comment or either approved it. Ziflow is very helpful as we can upload multiple files no matter the size of it.

Ziflow helps us applying collaborative work methodologies with a team spread across the world. We manage to achieve higher productivity, reduce the communication noise and limit the number of "parallel discussions" happening on various communication tools adopted by the workgroup (e.g. instant messaging, emails, etc.)
Our use case is the localization, editing and proofing of boardgames.

Ziflow is well suited for publishing processes of all nature - from print products to online publications and even media-enriched publications. It is great for working on the go and submitting notes for immediate feedback using the in-built communication capabilities. I have not found scenarios where Ziflow could be considered not appropriate, given that the scope of Ziflow is very precise and fills a specific niche in the market.

At Princess Auto, we use Ziflow to proof the various documents our design team creates. In the past, we used pdfs on a common server, and it was a mess. Every person reviewing the proof would have to create their own copy so they could put their own comments on it. This meant we had to look at dozens of documents, many of which would have the same comments over and over. Then, the process would start all over again once we finished addressing the comments. With Ziflow, everyone is commenting on the same document, and everyone can see what comments others are leaving so we can have discussions about them inside the proof itself, the proofs are saved online rather than on the server so people can look at them even if they're at home, and new versions of the proofs replace the old ones so even if we go through six rounds of revisions, we're still just dealing with "one" proof.

Ziflow is best suited for medium to large organizations, the kind where 5 or more people from different departments will be commenting on a proof, projects are created via briefs/dockets that are then assigned to another department, projects are likely to go through multiple revisions because the people who initially assigned the work are not graphically inclined, etc. For freelance designers who are dealing with just one client at a time, it would be overkill.

We originally came across Ziflow when looking for a solution for one of our customers who needed to annotate drawings onsite and send between staff members for approval instead of emails, this was the best tool for the job as it kept the current drawings completely up to date. We liked it so much we decided to also start using to speed up the process of getting quotes or estimates authorised when sending to customers as the back and forth on emails always took too long. We love the fact that it works across a wide range of document types and not just stuck with its own format. We use it with pdfs, word and cad drawings.

Ziflow allows multiple departments to have visibility over the progress of the same project. By allowing multiple users to add comments within the same document, we can track all changes in a very organized way. Additionally, Ziflow also allows you to keep historical tracking of all the changes since the beginning of the project for easy reference.

  • When a comment is too long, the email notifications are displayed incomplete.
  • When using "compare mode" with comments, Ziflow leaves little space to look at the actual document. Thecomment section of both proofs combined can easily take up to 50% of your screen.
As a company in the product development sector, the majority of projects require input from different departments, such as, Product Development, Marketing, Social Media, E-commerce, etc. Ziflow is a powerful tool that has allowed us to facilitate what before used to be physical documents passing through each department. A single round of comments could take days. Instead, using Ziflow allows us to have all departments involved add their comments simultaneously if a much faster fashion, making the process more effective and efficient.

We used Ziflow to proof all of our ads and copy. We started using it for proofing emails and web pages as well. When you use Ziflow, it is also an extension of Adobe products which streamlines the revision process. You can also see side by side comparison of the versions uploaded.

Ziflow has come a long way and is proving itself useful in many different aspects. I cannot think of an instance where it wouldn't be fitting. My company offers integration with Ziflow, and all the customers I've shown it to absolutely adore it! I have dove deep into the product to ensure I can offer guidance to my customers, and it truly is one of the leaders in the proofing space. Their UI is simple, yet has powerful metadata underneath it for power users to access and set up workflows based on. Amazing proofing platform! Best I have ever used. We send all our marketing collateral over to Ziflow which helps us keep track of version, changes and updates. It allows our remote-working marketing team to work as if we are in the same office space. We are even able to collaborate and brainstorm as a team on edits and refresh designs. And, this goes without saying, that the approval process is smooth, easy and trackable. It makes our daily lives easier and more efficient.

I only hope one day it will be more social media campaign friendly.

We create a lot of websites and digital assets. Ziflow helps us to review live staging websites, banner ads, and production websites in realtime and referencing the true interactivity of the things we are building, testing and readying to launch. Every other option we've seen requires reviewers to comment on static printouts or screen grabs of the designs. This falls short of being able to interact and comment on the functionality, and overall UX/UI.

With Ziflow, that is not a problem. We're able to look at the live assets and provide the proper, constructive insights so that the end product is the best it can be.

  • While Ziflow is great for live site markups and comments, it would be good to see additional integrations with some our other business platforms to further integrate the platform with our workflows across the company
  • Integrations they have now are good for some of our teams, however there some platforms that our accounting team inquired about to integrate for billing/tracking purposes
  • It would be good to see them add additional "How-To's" with videos and links for some of our less tech-savvy team members to faster on the uptake and how the user interface can guide them to the task at hand
Ziflow, as a platform, provides active design and development teams with an incredibly useful tool for being able to review our work in progress. This allows us greater control and time efficiency in our development process. The ability to then share these live projects for internal and external reviews has significantly reduced the volume of emails and back and forth on Slack and Teams so we can spend our time developing and delivering and not having to chase people down to get them to review what they need to.

We used Ziflow in our organization to streamline the project team to work collaboratively in between our creative rounds. We were running into issues with our different resources using different platforms, updates being missed, version issues, etc. It helped streamline the process and version control when there are multiple rounds for a marketing piece.

  • Keeps version control as there is one document everyone is working on
  • Streamlines between rounds of creatives
  • Once learned, easy user interface
  • The navigation isn't as easy as I would've hoped, and some people do feel intimated by it.
  • Making sure all users permissions are set correctly, so they can see and work on the projects at the level needed for their role. It can be tedious, and there can be misses.
Ziflow is great and makes collaboration easy. Depending on how big your project is- you can loop in and tag as many people as you would like. I am a senior project manager who works and manages global teams, and Ziflow made it easy to collate all feedback. I appreciate previous versions are stored so you can go back and review them to ensure all feedback and notes were captured in the "new" versions. Also, having the feature of organizing your proofs into different folders, archives, duplicates is great for file keeping. I always found version control when receiving feedback on creative files, but Ziflow allows you to upload PDFs and docs, and compare them side to side, which helps to ensure everything flowed in correctly. Lastly, the ability to create workflows is incredible and saves you so much time.

We do weekly newsletters where we advertise a breadth of brands that use our product offerings as well as any promotions.Sometimes there are 10 brands, with 5 separate account managers. We are able to get every module approved by the account managers and have exact links, copy changes and images added to the proof. Once all account managers have approved, the proof is automatically pushed to marketing, compliance and legal so that we can collate all feedback and approvals into one place. Ziflow acts as our source of truth for every proof we do.

Ziflow is used within the marketing department to upload documents, videos, graphics etc for approvals from other teams in the organisation. Ziflow has helped eliminate missing emails with feedback, forgetting about certain tasks and their due date and has allowed us to streamline the process of approvals, making it easier for teams in the organisation to approve and make changes to their design requests.

As I work in the marketing team with the graphic designer we use Ziflow to get approvals for all of the content we are creating, making it seamless to receive feedback on our work to make immediate changes, uploading multiple versions of a proof to ensure we are all aware of the current correct design and it allows for other teams in the organisation to provide their feedback and approvals effortlessly.

Ziflow really takes the tediousness out of the review process. Previously we'd have to include timecode overlays on videos and go through pages and pages of unclear notes in order to implement changes, and even then some were missed. And if the requested changes weren't possible, there would be phone calls back and forth to discuss it and then we'd have to relay that to the editor again. Now it's almost painless, and there is a clear audit trail of the required amendments. Our clients can even track the progress as the requests get ticked off, and our editors can correspond directly with our clients if anything is unclear.

The version comparison makes it perfect for marking up and checking whether changes have been implemented by my team as per my client's requests. For video review it also works very well - it has completely replaced our traditional, clumsy way of reviewing videos. Some of my clients feel intimidated by the interface, so perhaps the client-facing side of things should be simplified.

Collaborating with colleagues across multiple timezones is really important and Ziflow allows this and for rounds of changes to be consolidated. It also allows people to have conversations with eachother to find a resolution instead of going back to the designer multiple times. Ziflow solves working across timezones and allows proofs to be reviewed constantly. The ability for external clients to also be added to the proof to make their feedback helps to collate all feedback in one place easily accessible.

Most of our proofs require multiple reviewers across different timezones so Ziflow streamlines all our review needs. It ensures everyone is using the same software and becomes familiar with the way of proofing that is efficient and effective. The only scenarios where it is not appropriate is when the file to review isn't supported by Ziflow, eg a PPT presentation

It allows for an in-depth and easy-to-collaborate review! It helps us make sure that folks across our different departments can easily engage and have conversations about our packaging, manuals, and quick-start guides. Our hearing protection is safety-guided, and there are a lot of details that can very easily get lost in the shuffle. Ziflow makes that a much easier approval process.

We use Ziflow specifically in reviewing our product materials. I wish it was easier for someone to learn the commenting features - it can be a lot to ask them to watch the Ziflow tutorial (10-15 minutes) or schedule time to go over it with each person. It's great for getting really zoomed in and figuring out the details, but this means that sometimes edits are hard to notice between versions. There should be something in the upload feature where you can reflect this more. We've gone around this by adding boxes around areas that are changed for reviewers to quickly approve the appropriate changes. Even small features like a spell check option or MLA/AP style check or if a word should be hyphenated would be great functionality. Could we add this as a feature where we can teach the system what words are needed for our style and it catches any incorrect punctuations or spellings of those?

We use Ziflow as a review process for video production. We use it to storyboard, layout design, rough cuts, and final videos. We have several contractors, an agency, a client, and possibly an additional brand agency all involved. With so many stakeholders and creatives involved, it is vital to use a tool like this to all speak the same language and be on the same page. Things can get lost and forgotten, and the specificity of notes and versioning keep us all up to date and current on what we're talking about and where we're headed with creativity.

Video review with multiple stakeholders and creatives will need a diverse tool like this. Comments on style frames and storyboards need different tools than on video, and Ziflow does a good job balancing both.
